Privacy Policy

ChairShare is a private network of independently owned dental practices. This policy explains what we collect when you enquire about membership, why we collect it, and what we do and do not do with it. It is written to be read, not to be skimmed past.
01Who we are
ChairShare (“ChairShare”, “we”, “us”) operates this website at chairshare.us and is responsible for the information described below. If you have any question about this policy or about information we hold, contact support@chairshare.us.
02What we collect
Almost everything we hold about you is information you typed into our membership enquiry form yourself. That form asks for:
- Your name, your role at the practice, your email address and a direct phone number
- The practice name, its city and state, and its website
- Whether the practice is independently owned, how many operatories it has, how many are in typical use, and how long it has been operating
- Which parts of the ChairShare platform interest you
- Anything else you choose to write in the free-text field
If your practice goes on to reserve a membership, the reservation form asks for considerably more, because it is the point at which we set the arrangement up:
- Practice ownership structure, entity type, state of formation and number of locations
- EIN, NPI number, and the name shown on your income tax form
- Practice size and operating detail: dentists, hygienists, employees, operatories, patient counts, opening days and the software you use
- Revenue, card volume and processing-fee ranges
- Bank details for payment setup: bank name and address, account name, account number, routing number and account type
Our web host also keeps standard server logs, which include IP addresses, browser type and the pages requested. These are used for security and troubleshooting.
Please do not send patient information or clinical records through any form on this site. We do not need them and do not want to receive them.
03Why we collect it
To assess whether your practice is a fit for ChairShare membership, and to contact you about that assessment. Membership is by invitation and begins with a ChairShare Zoom presentation, so the details you provide are used to decide whether to invite you to one, and to prepare for it.
We collect this because you chose to submit it and ticked the consent box. You can withdraw that consent at any time (see section 8).
04Who else handles it
We use a small number of third-party services to run this site. They act on our instructions and each has its own privacy policy:
- Jotform hosts the enquiry form and stores submissions. When you complete the form, your answers are transmitted to and held on Jotform’s servers.
- Hostinger hosts this website and keeps the server logs described above.
- Google Fonts serves the typefaces used on this site. Loading them transmits your IP address to Google. No cookie is set for this.
We do not sell your information, rent it, or share it with advertisers or data brokers.
05How long we keep it
Enquiry submissions are kept for 24 months from the date you send them, then deleted, unless you become a member or ask us to delete them sooner.
Reservation submissions are different. Where they contain banking, tax or entity information we keep them only for as long as the arrangement requires and for any period we are legally obliged to retain financial records, then delete them. If you reserve and do not proceed, tell us and we will delete the submission.
Server logs are kept for the shorter period our host retains them.
06What we do not do
This site sets no cookies of its own. It carries no analytics, no advertising pixels, and no cross-site tracking of any kind: no Google Analytics, no Meta Pixel, no session recording. We do not build profiles of visitors, and we do not track you across other websites.
The embedded enquiry form is served by Jotform and may set cookies necessary for the form to function. Those are governed by Jotform’s own privacy policy.
07Security
The site is served over HTTPS, and everything you submit is transmitted over an encrypted connection. Submissions are held in our Jotform account, which is password-protected and limited to the people who need access to it.
We are conscious that the reservation form carries banking and tax information. We ask only for what is needed to set up the arrangement, we do not display it back on the website, and we do not share it with advertisers or data brokers. No transmission over the internet is ever completely secure, and we cannot guarantee absolute security. If you would rather provide banking details by another route, email support@chairshare.us and we will arrange it.
08Your choices and rights
You can ask us at any time to:
- Tell you what information we hold about you
- Correct anything that is wrong
- Delete your enquiry entirely
- Withdraw the consent you gave when submitting the form
Email support@chairshare.us and we will action it. Depending on where you live, you may have further rights under state privacy laws; tell us what you need and we will do our best to honour it regardless of where you are.
09Children
This site is intended for dental professionals and practice owners. It is not directed at children, and we do not knowingly collect information from anyone under 18.
10Changes to this policy
If we change how we handle information (for example, if we add analytics) we will update this page and change the effective date at the top. Material changes affecting people who have already enquired will be communicated directly.
